📨 Your Inbox, Before & After AI

Here’s a way to rethink your inbox from a source of stress to a source of intelligence:

Instead of: Sending a generic "Just checking in!" email to a past client. Now: Use AI to find a real, personal reason to connect.

The Prompt: Act as my relationship assistant. Analyze my email history with [[email protected]]. What personal (non-real-estate) milestones, interests, or pain points did they mention in the last 12 months? List the top 3. Then, draft a warm, 2-sentence email that references the most recent one.

  • Example Insight: "In an email from 8 months ago, [Client] mentioned their son 'Alex' was starting to look at colleges."

  • Pre-Written Draft: "Hi [Client], I was just thinking of you and your family. How is Alex's college search going? I know that's such an exciting (and wild!) time. Hope you're all doing well. Are you around for the holidays?"

Instead of: Having a "Top 50" list in a spreadsheet and trying to remember to call them. Now: Use AI to audit your actual communication and spot the relationships you're neglecting.

  • The Prompt: "Analyze my sent folder for the last 90 days. Cross-reference it with this list of 10 VIP clients: [email 1, email 2, email 3...]. Which clients on this list have I not had a personal email exchange with in the last 3 months? For each one, draft a 'thinking of you' email based on our last positive interaction."

    • Example Insight: "You have not emailed [Client 1], [Client 2], or [Client 3]."

    • Pre-Written Draft for C1: "Hi [Client 1], I just drove past the [Neighborhood] coffee shop we met at and thought of you. I hope you're still loving the new kitchen! Just wanted to say hello."

ChatGPT also offers a wide range of 1-click integrations.

🔒 A Quick Note on Privacy

This is powerful and you should be aware how it impacts sensitive information. As we discussed in Issue #12, you should never copy/paste sensitive client emails into a public-facing tool like ChatGPT.

The magic of this workflow comes from using the integrated tools—Gemini inside Google Workspace or something like Copilot inside Microsoft 365. These services are designed to work securely within your account, without training on your private data.

The Bottom Line (Why Should Real Estate Agents Care?)

We all know that buying cold leads is a high-cost, low-trust game. Mining your inbox is a no-cost, high-trust system.
